Cessation of any employee over shoddy work is a severe matter that needs careful evaluation and approval of the Human Resource office. Unsatisfactory work erupts from a variety of behaviors that include: Unwillingness to learn new skills, unwillingness to cooperate with other employees, inability to complete work assignments, failure to submit work within the set deadlines. Once such conduct is identified, the supervisor must get a sit down with the employee and take corrective action that may include coaching or dismissal. When the manager gets to the point of termination, the Human Resource is to write a termination letter to the employee that serves as an official notice of dismissal.

Dear Mr. Liam,

We regret to inform you that you have been officially terminated from The Eco-firm the post of Junior sales executive with effect from today 2nd October 2015. Your termination is brought about by poor performance all through your work term.

During your hiring process, you were given clearly set targets as sales professional that you were supposed to reach and exceeded. You were also advised of the process that would follow if you did not reach the metrics that were outlined.  In the past you have received three written warning letters for poor performance, we are left with no other option but to dismiss you from employment.

As you can well remember, your first review was in June after five months of work where your performance was below standards. In July and August too, your performance remained way below the set standards, and we saw an unwillingness on your part to work any better. After reviewing your September results, we decided to issue you with a termination letter as there has been no improvement on your end.

Please report to your supervisor immediately you receive this message to return all the company property in your possession. Go through the exit interview process to ensure you fill the departure forms and sign to show you are cleared with nothing pending. Anything you have lost or damaged shall be charged to you to repair or replace.
